Gleam Pro Scheduling and Booking Invoices Privacy Policy

Effective date: October 7, 2026

Gleam Pro Mobile Auto Detailing (“Gleam Pro,” “we,” “us”) operates the Gleam Pro Scheduler and Gleam Pro Booking Invoices, connections for our website, authorized business Google Calendar account, and QuickBooks Online company. This policy explains what information these connections handle and how it is used. For questions or privacy requests, contact service@gleamproautodetail.com.

Information we collect

When a customer requests or books a detail, we may collect the name, email address, phone number, service and add-on selections, vehicle details, service location, requested date and time, and any notes the customer provides. Our website may also receive ordinary technical information needed to operate and secure the site, such as browser and device information and server logs.

When an authorized Gleam Pro staff member connects a Google account, the scheduler may access the Google Calendar information permitted by the consent screen, including calendar identifiers, event dates and times, availability or busy status, and event details needed to identify scheduling conflicts. It may create, update, or cancel appointment events on the connected calendar. Customers booking a detail are not required to connect their own Google account.

How we use information

We use booking information to display available appointment times, prevent double booking, schedule and manage appointments, communicate about requests and appointments, provide detailing services, maintain business records, and protect the scheduler from misuse. Google Calendar data is used only to provide and improve these user-facing scheduling functions. We do not use Google Calendar data for advertising or sell it.

Google API data

Our use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. We request only the permissions needed for the scheduling features being enabled. We do not allow people to read Google user data except when necessary to provide or support the service, investigate security or abuse, comply with law, or when the connected user has given affirmative consent.

Sharing and service providers

We share information only as needed to operate the booking workflow. This may include our website hosting and WordPress booking software, Google Calendar when a calendar is connected, and the email or automation services configured to deliver booking requests and notifications. Those providers process information to support the service under their own applicable terms and privacy policies. We may also disclose information when required by law or to protect rights and safety. We do not sell booking information or Google user data.

Storage, retention, and security

Booking information may be stored in our website, connected calendar, email, and related business systems. We retain it for as long as reasonably needed to manage appointments, provide services, keep appropriate business records, resolve disputes, and meet legal obligations, then delete or de-identify it when no longer needed. We use reasonable administrative and technical safeguards, but no online service can guarantee absolute security.

Your choices and requests

Customers may contact us to request access to, correction of, or deletion of their booking information, subject to records we need to retain for legitimate business or legal reasons. An authorized Google user may disconnect the calendar in the scheduler and revoke access through their Google Account third-party connections. Revocation stops new access; it does not automatically erase previously created appointment records. Email us at service@gleamproautodetail.com to request deletion of stored data where applicable.

Changes

We may update this policy when the scheduler or our practices change. The effective date above will be revised when we publish an update. Material changes to Google user data use will be disclosed and, where required, presented for consent before taking effect.

QuickBooks booking invoices

Gleam Pro Booking Invoices is a private connection between our booking website and our authorized QuickBooks Online company. When enabled, it sends the customer’s name, email address, selected service and add-on information, vehicle pricing category, booking reference, quoted service total, deposit amount, and remaining balance to QuickBooks to create and deliver the booking deposit invoice. It reads customer, service-item, company, and invoice information needed to operate and verify this process. We use this information to provide invoicing, maintain business records, resolve invoice issues, and prevent duplicate invoices.

QuickBooks and QuickBooks Payments provide the invoice and online payment experience under Intuit’s applicable terms and privacy statement. This website connection does not collect or store the card or bank-account details entered on Intuit’s payment page. It does not authorize an automatic charge merely because a booking is submitted.

Access to the QuickBooks connection is restricted to authorized website administrators. Connection credentials and authorization tokens are stored encrypted on our website. We retain invoice references and processing status as needed to operate the booking workflow and maintain business records. We do not sell QuickBooks data or use it for unrelated advertising.

An authorized administrator may disconnect the app using the Invoice connection settings or revoke access in QuickBooks. Disconnecting stops further access through the connection; it does not automatically delete invoices, appointment records, or other records already created. For access, correction, or deletion requests, contact service@gleamproautodetail.com. Requests remain subject to business and legal record-retention requirements described in this policy.
